Restrict access to Call history

You can restrict access to your call history so that only certain users can view and search it.
Access restrictions can be set on a phone number or team basis.

Restrict access by phone number

You can restrict access to each assigned outgoing phone number (circuit title).

If you enable this setting, you will be able to view the call history associated with the outgoing phone number (circuit title) assigned to you, as well as the call history of calls you made and received (extensions, etc.). All other call history will not be viewable.

  IMPORTANT

  • If you would like to enable this feature, please contact our representative or support.
  • You cannot use both phone number-based and team-based access restrictions at the same time. If you are already using these restrictions, please contact our staff or support.

How to set up

  1. Access MiiTel Admin.
  2. Click User > User List.
  3. Click ellipsis ellipsis-v-light__1_.svg on the target user and then click Edit.
  4. Under Call history browsing control > View permissions by circuit numbers, select Yours only.
  5. Click Save.

Details of the restrictions

This setting restricts the following:

  • Call history
    • Only call histories that are permitted to be displayed will be shown.
  • Call history list
    • Only call histories that are permitted to be displayed will be shown.
  • Full-text search
    • Only call histories that are permitted to be displayed will be shown.
  • MiiTel Phone
    • Only call histories that are permitted to be displayed will be shown.

  IMPORTANT

  •   Regardless of the access restriction settings, all data is available for viewing and downloading for CSV downloads of the dashboard, contacts, and call history.
  • Regardless of the access restriction settings, the three-way call, whisper, and monitoring functions remain available.
  •   Regardless of the access restriction settings, all call history will be integrated if third-party integration is enabled.
  •   When a user with restricted access performs an internal call transfer, they can view the call history of the transferred call as well.
  •   You can view call histories for other users who linked the same outgoing phone number (circuit title).

Restrict access by team

By setting up teams separate from the groups used for incoming calls, you can restrict access to call history on a team basis. You can view your own call history and that of team members belonging to the same team as you.

This feature is useful when you want to apply restricted access within a scope different from the outgoing phone number range.

  IMPORTANT

  • If you would like to enable this feature, please contact our representative or support.
  • You cannot use both phone number-based and team-based access restrictions at the same time. If you are already using these restrictions, please contact our staff or support.

Create a team

  1. Access MiiTel Admin.
  2. Click User > Team.
  3. Click Create a team.
  4. Set the team name in Team Name.
  5. In Assign user, select the users you want to assign to the team and click Add.
  6. Click Save.

  NOTE

  •   If you assign a user who does not belong to any team yet, the assigned team will be set as the main team. If you assign a user who already belongs to another team, the assigned team will be set as the sub-team.
  •   To assign a user to a sub-team, the user must belong to at least one team as their main team. To change the main team, see the steps in "Assign teams from the user list".
  •   Call histories created by a user belonging to multiple teams are linked to that user's main team.
  •   Call histories linked to the main team can also be viewed by users who belong to a sub-team.

Bulk create multiple teams

Using a CSV file, you can create multiple teams and register users to teams.

First, download the template CSV file for creating teams.

  1. Access MiiTel Admin.
  2. Click User > Team.
  3. Click the Register multiple teams tab.
  4. Click Add multiple teams.
  5. Enter the required number of rows in Number of rows to generate.
  6. Click Create & download.

Next, prepare the CSV file and upload it to MiiTel Admin.

  1. Enter the following information in the downloaded CSV file.
    Login ID: Enter the login ID of the MiiTel user
    Team name: Enter the team name for the user's affiliation (up to 50 characters)
    main / sub: Enter "main" or "sub" (For details about main and sub, see NOTE)

  NOTE

  •   In the following cases, team registration will fail only for the corresponding row.
    • An existing team name is entered in the Team name column.
    • The entered Login ID is incorrect, or the Login ID is disabled
  •  In the following cases, an error occurs when uploading the CSV file.
    • Required fields are left blank
    • For the same user with the same Login ID, "sub" is entered in all rows (when "main" is not set for the Login ID in existing teams, either)
    • For the same user with the same Login ID, both "main" and "sub" are entered within the same team

  •   If you upload a user who already has "main" in another team as "main" in a different team, the specified team will become the new "main". In that case, the existing team the user originally belonged to will automatically be switched to a sub-team.
  1. Save the CSV file.
  2. Access MiiTel Admin.
  3. Click User > Team.
  4. Click the Register multiple teams tab.
  5. Click Add multiple teams.
  6. Click Choose a file.
  7. Select the file and click Upload.

  NOTE

  •   If the CSV file contains a value that cannot be registered, you can check the number of rows with errors in the Error column.

  •   Click Details to check the registration details and error details.

Edit teams

If you want to edit a team later, you can do so by following the steps below.

  1. Access MiiTel Admin.
  2. Click User > Team.
  3. For the team you want to edit, ellipsis-v-light__1_.svg > click Edit.
  4. After you finish editing, click Save.

Assign teams from the user list

You can also assign a team by selecting a user.

  1. Access MiiTel Admin.
  2. Click User > Team.
  3. Click the Assign to user tab.
  4. For the user you want to assign a team to, ellipsis-v-light__1_.svg > click Edit.
  5. In Select team members, select the team you want to assign, and click Add.
  6. If you want the user to belong to multiple teams, select the team you want to set as the main team.

  7. Click Save.

  NOTE

  •   Call histories created by a user belonging to multiple teams are linked to that user's main team.
  •   Call histories linked to the main team can also be viewed by users who belong to a sub-team.

Set call history access restrictions by team for each user

  1. Access MiiTel Admin.
  2. Click User > User List.
  3. For the target user,  ellipsis-v-light__1_.svg  and click Edit.
  4. In Call history browsing control > View permissions by teams, select "Only your team". 
  5. Click Save.

  IMPORTANT

  •   As shown below, call histories not associated with a user can be viewed by all users regardless of the access restriction settings.
    • Call history before enabling team-based access restrictions and assigning to a team
    • Voicemail
    • Missed calls to groups
    • Automatic call forwarding
    • Play sound
    • IVR

Details of the restrictions

Change the team associated with the call history

You can move the call history belonging to one team to another team.

  1. Log in to MiiTel Phone Analytics as a user with administrator privileges.
  2. Click Call History.
  3. Select the call history you want to move the team to.
  4. Click Operation > Transfer team
  5. Select the team you want to move to and click Move.

 

You can also move multiple call histories to another team.

  1. On the Call History List screen, click ellipsis ellipsis-v-light__1_.svg > Move call histories to a new team in the upper-right corner.
  2. Specify the criteria for the call history you want to move, then select the team you want to move to.
  3. Click Confirm.
  4. A confirmation screen will appear. After reviewing the details, click Reserve Changes.
  5. A message confirming that the reservation change has been completed will appear. Click Close.

  IMPORTANT

  •   Bulk changes to the team of call histories will not be reflected immediately. They will be processed at 2:00 AM (JST).
  •   Bulk changes to the team of call histories cannot be canceled. To return to the original team, please perform the change operation again after execution.
  • You can also move call histories that do not belong to a team to a specific team.
  • It is not possible to change the histories belonging to a team to a “not linked” status.
