You can restrict access to call history so that only specific users can view and search it.
Access restrictions can be set by phone number or by team.
Separately from the groups used for incoming calls and other purposes, you can set up "teams" to restrict access to call history by team. You can view your own call history and the call history of team members who belong to the same team as you. This is useful when you want to apply access restrictions on a basis other than outbound phone numbers.

Create a team
First, create a team using the following steps.
- Access MiiTel Admin.
- Click Users > Team.
- Click Create team.
- Enter a team name in Team name.
- In Select users, select the users you want to assign to the team, and click Add.
- Click Save.
NOTE
- If you assign a user who does not yet belong to any team, the assignment becomes the "Main team." If you assign a user who already belongs to another team, it becomes a "Sub team."
- To assign a user to a sub team, the user must belong to one of the teams as their main team. To change the main team, see the steps in "Assign a team from a user."
- Call history created by a user who belongs to multiple teams is linked to that user's main team.
- Call history linked to a main team can also be viewed by users who belong to that team as a sub team.
Create multiple teams at once
Use a CSV file to create multiple teams and register users to teams.
First, download the template CSV file for creating teams.
- Access MiiTel Admin.
- Click Users > Team.
- Click the Bulk create tab.
- Click Register multiple teams.
- Enter the required number of rows in "Number of rows."
- Click Create & download to download the CSV file.
Next, prepare the CSV file and upload it in MiiTel Admin.
- Enter the following in the downloaded CSV file:
Login ID: Enter the login ID of the MiiTel user
Team name: Enter the name of the team the user will belong to (up to 50 characters)
Main / Sub: Enter "main" or "sub" (you can also enter "main" or "sub"; for details on main and sub teams, see NOTE)
NOTE

In the following cases, team registration fails for the affected row only.
- A name that already exists is entered in "Team name"
- The entered login ID is incorrect, or the login ID has been disabled

In the following cases, an error occurs when you upload the CSV file.
- A field is left blank
- "Sub" is entered on every row for a user with the same login ID (when the login ID does not have a "Main" team set in any existing team either)
- Both "Main" and "Sub" are entered within the same team for a user with the same login ID
- If you upload a user who already belongs to a team as "Main" as the "Main" of a different team, the specified team becomes the new "Main." The existing team the user originally belonged to is automatically switched to "Sub."
- Save the CSV file.
- Access MiiTel Admin.
- Click Users > Team.
- Click the Bulk create tab.
- Click Register multiple teams.
- Click Select a file.
- Select the file and click Upload.
NOTE
- If the CSV file contains values that cannot be registered, you can check the rows with errors in the "Error count" column.
- Click Details to view the registered content and the error details.
Edit a team
You can edit a team later using the following steps.
- Access MiiTel Admin.
- Click Users > Team.
- Click the
for the team you want to edit > Edit.
- After editing, click Save.
Update multiple teams at once
You can update information in bulk by team or by user.
Assign a team from the user list
You can also select a user and assign the team they belong to.
- Access MiiTel Admin.
- Click Users > Team.
- Click the Assign to user tab.
- Click the
for the user you want to assign a team to > Edit.
- In Select team, select the team you want the user to belong to, and click Add.
- To have the user belong to multiple teams, select the team you want to be the main team.
- Click Save.
NOTE
- Call history created by a user who belongs to multiple teams is linked to that user's main team.
- Call history linked to a main team can also be viewed by users who belong to that team as a sub team.
Set access restriction by team for each user
- Access MiiTel Admin.
- Click Users > Users.
- Click the
for the target user, then click Edit.
- Under Call history browsing control > View permissions by teams, select "Own team only."
- Click Save.

History not linked to a user, such as the following, can be viewed by all users regardless of the access restriction settings.
・Call history from before the user was assigned to a team, after access restriction by team was enabled
・Voicemail
・Missed calls to a group
・Automatic call forwarding
・Sound playback
・IVR
What is restricted
This setting restricts the following:
- Call history: Only call history you are permitted to view is displayed
- Call history list: Only call history you are permitted to view is displayed
- Full-text search: Only call history you are permitted to view is displayed
- MiiTel Phone: Only call history you are permitted to view is displayed
IMPORTANT
- Regardless of the access restriction settings, all data in the Dashboard, Contacts, and call history CSV download can be viewed and downloaded.
- Regardless of the access restriction settings, the Group call, Whispering, and Monitoring features are available.
- Regardless of the access restriction settings, if you use external integrations, all call history is synced.
- If a user with access restrictions performs an extension transfer, they can also view the call history of the transfer destination.
Change the team linked to call history
You can move call history that belongs to a team to a different team.
- Go to https://account.miitel.jp/v1/signin and log in to MiiTel Phone Analytics with a user who has administrator privileges.
- In MiiTel Analytics, click
Call history.
- Select the call history you want to move to a different team.
- Click Actions > Move team.
- Select the destination team and click Move.
You can also move multiple call histories to a different team at once.
- On the call history list screen, click the
in the upper right > Move call histories to a new team.
- Specify the conditions for the call history you want to move and select the destination team.
- Click Confirm.
- A confirmation screen appears. After reviewing the content, click Reserve changes.
- A message appears indicating that the change has been reserved. Click Close.
IMPORTANT
- Bulk changes to the assigned team are not applied immediately. They are executed at 2:00 a.m. Japan Standard Time (JST).
- Bulk changes to the assigned team cannot be canceled. To return to the original team, perform the change operation again after the change has been executed.
- You can also move history that does not belong to any team to a specific team.
- You cannot change history that belongs to a team back to an unassigned state.
Delete a team
- Access MiiTel Admin.
- Click Users > Team.
- Click the
for the target team, then click Delete.
- Click Delete on the confirmation screen.
IMPORTANT

If a team has one or more call histories or meeting histories, the team cannot be deleted.
If there is history, reduce the history belonging to the team you want to delete to zero using the following methods.- If the team you want to delete has call history, see "Change the team linked to call history."
- Meeting history cannot currently be moved to another team. Therefore, if the team you want to delete has meeting history, you must delete all of the relevant meetings.

If a user belongs to multiple teams as both a main team and a sub team, the impact of deleting a team differs for each.
- If you delete a team the user belongs to as their main team:
The user is removed from all teams and becomes unassigned.
Example: If a user's main team is Team A and sub team is Team B, deleting Team A removes the user from all teams, including the sub team assignment to Team B, and the user becomes unassigned - If you delete a team the user belongs to as a sub team:
Only the sub team assignment is removed, and the main team is not affected.
